Saving and Updating Official Records


There are four actions related to the Annual General Meeting. Each of these involves uploading a file (and in two cases changing a table in another file). These actions are: 1) Uploading the Tentative Agenda for the Annual Meeting (so that club members can review it before the meeting). When this is done, an entry is added to the table in the Annual Meetings file. 2) Uploading the Final Agenda; changes may have been made to the agenda prior to or at the Annual Meeting. 3) Uploading the Draft Minutes of the previous Annual Meeting. The minutes remain labeled draft until the next meeting when they are approved. 4) Uploading the Approved minutes of the previous Annual Meeting. This happens a year after the draft minutes were loaded.

This page can also be used to upload the Year-End Report. At the beginning of each year, a report is produced about the club activities done in the previous year. The fifth action on this page uploads a new year-end report and adds an entry to the list of year-end reports in the Year-End Report file. All files to be uploaded must be of type .htm or .html For all five actions, a date must be specified in the form yymmdd For the actions related to meetings, the meeting date is required; for the year-end report, Dec 31 should be used as in 221231 for the 2022 year-end report.
