Orienteering Club
12 November 2023
Memberships represented:
Barak, Battista, Jarvis, Johnstone, Knecht, Livingston, Opila, Pane, Repp,
Rzewski (3), Shank, Stewart, Wolfe.
Jim Wolfe called the meeting to order at 2:23 pm.
1. Minutes from 6 November 2022 were
approved.
2. Election of Non-Officer Board Members
- Sherry Shank was interested in continuing to
serve another term, so was self-nominated.
She was elected by acclamation to a two-year term.
- Lee Bash was interested in stepping down but
would continue for another term if nobody else was interested. Nate Hazelton was interested, so was self-nominated
and elected by acclamation to the remaining non-officer board position.
3. Report on the Achievements of 2022
- Five regular orienteering events were held along
with one night event, one training day, two mini-rogaines. >The ski event was cancelled due to lack of
snow.
- A map of Warriors Path State Park was made and a
permanent course was designed for it. Installation has not yet happened.
An additional 500 acres were mapped for the 2024 Babcock Bog &
Boulder Challenge.
- Sixteen workshops or demonstrations were held,
only one of these was open to the public.
- All club maps that are used for events were
converted from OCAD 6 form to OCAD 18 form for use with our recently acquired
OCAD license. Minor updates were made to
the maps of the areas used for events during the year, some prior to
conversion, some after.
 4. Thank You
- WPOC thanked the 6 Meet Directors (Shank, Battista,
Rzewski, Logan, Knecht, and Wolfe), 4 Vetters (Battista, Logan, Rzewski, Wolfe),
2 Workshop Presenters (Livingston, Wolfe), and all the Event Volunteers for
their many hours of service to the club.
- Special Thanks also go to Volunteer Coordinator
Ryan Knecht, Membership Coordinator Sherry Shank, Event Coordinator Giuseppina
Mecchia, Social Media/Photographer Alexis Rzewski, Facebook/Instagram
Connection, Naomi Jarvis, and Equipment Repairman Ryan Knecht for their time
and efforts.
5. Report on Board Actions in the last year (Nov
2022 to Nov 2023)
- The board approved acquiring a 3-year 2-user
license of the current version of OCAD. The license and software were purchased in January 2023.
- The board approved giving away a swag item to
participants in Raccoongaine and the Babcock Bog & Boulder Challenge. Samples of the swag items were on display at
the meeting.

Due to increased costs for Raccoongaine (food
and port-o-johns) the board approved raising the entry fee for the 2024
Raccoongaine to be $20 for the 3-hour and $35 for the 6-hour. Member discounts will still apply.
6. Financial Report
- A financial report was made for WPOC through November
2023. A complete report for 2023 will be
sent to the membership in January 2024 after the fiscal year is completed. The report shows the club to be financially
stable.
- A explanation was given about the changes that
OUSA is making to fees that clubs will be paying. The recommendation is to wait until our
meeting in 2024 and evaluate then.
- Discussion was had regarding how the membership feels
the club should spend its money. See New
Business for details.
7. A Discussion of Goals for 2024
- WPOC discussed the goals for next year to
include holding as many local events as possible as well as Raccoongaine, Babcock Bog and
Boulder Challenge, and a training day.
- WPOC will continue to provide workshops and
promotional events for orienteering.
- WPOC wants to continue to increase club
membership and volunteerism at meets.
8. New Business
- A discussion regarding marketing was had. Data
shows that we have encountered many people at workshops but few ever come to a
regular event. Several club members
suggested ways to encourage crossover attendance such as offering a coupon for
a free course. Jim Wolfe explained that
we had tried that in the past with little success. Jennifer Livingston explained that many
people in her workshops were Scout leaders who were learning orienteering
skills as part of a weekend of training of all scouting skills. Most would be eligible for a free course
anyway when they bring their scouts under age 18 to an event.
- Discussion on advertising events was had. It was explained that all references to our
club on twitter were removed. We have
been sharing events on Facebook, Instagram, Meet-up. Suggestions to place signs with QR codes
linking to our events in parks the month/week/day before a public orienteering
event were discussed. Many parks do not
permit signs placed at all. Individuals
can attempt to contact local communities and advertise events with flyers at
local coffee shops/stores/etc. or on the local community social media sites if
they desire. QR codes were discussed,
and some people thought having individual QR codes for each event would be good
while most believed that a QR code just to the website would be best so if we
ever do use signs, they can easily be reused.
- Discussion on assisting the volunteer
coordinator was initiated by Naomi Jarvis since she had previously held that
position. Ryan Knecht did say that
certain weeks were more difficult for him to organize the meet volunteers, but
it is much easier now that volunteers are able to sign up when they
pre-register for events. He will
communicate events for which he will have little time to arrange volunteers and
other club members will offer assistance for these individual events.
- Discussion was had on ordering clothing items. Several members were strongly in favor of
uniform items and desired to represent WPOC when competing at other club's
events. Several members were strongly in
favor of a shirt or sweatshirt to represent our club. A couple of members requested that a
hat/ballcap be designed for the club to sell.
Suggestions were given to offset the purchase of uniform or shirts with
club funds so that people would be paying only a portion of the cost
themselves. The Board will discuss this
topic.
